About the role
The Office Assistant provides comprehensive administrative and management support to the FAO Representation in Liberia, ensuring the smooth and efficient operation of the office. Working closely with the FAO Representative and other senior staff, the role involves handling confidential information, coordinating meetings, and maintaining effective communication channels.
Key responsibilities
- Screen appointment requests, manage the Representative’s calendar, and arrange meetings.
- Receive visitors, handle incoming and outgoing correspondence, and respond to queries, often of a sensitive or technical nature.
- Coordinate logistical support for meetings, trainings, seminars, committees, special projects, and events.
- Prepare and distribute meeting materials, take minutes, and follow up on action items.
- Maintain office filing systems, ensure proper documentation, and support other office support staff.
- Provide procedural guidance and information to internal and external stakeholders.
Required profile
- Demonstrated ability to work independently, set priorities, and make decisions without constant supervision.
- Strong organizational skills with attention to detail and a commitment to confidentiality.
- Excellent communication skills, both written and verbal, for interacting with diverse audiences.
- Proactive attitude, capable of taking initiative and handling situations without precedent.
- Ability to provide guidance and advice to junior office staff.
