Home Care Scheduling Clerk III – Client Visit Coordination

About the role

The Home Care Scheduling Clerk III works within an interdisciplinary team to coordinate and assign client visits for Home Care Direct Service Staff. This position ensures efficient use of resources while maintaining high standards of confidentiality and client service.

Key responsibilities

• Maintain individual employee schedules using the Electronic Scheduling Program.
• Respond to service requests and changes from Home Care Case Coordinators or Direct Service Nurses, identifying available staffing resources.
• Process service requests by priority in consultation with case coordinators and nurses.
• Provide assignment information to workers and notify them of service resumptions or terminations.
• Communicate scheduling details with clients as needed.
• Maintain client information according to established guidelines and complete time‑keeping duties.
• Adhere to PHIA and FIPPA legislation and document any concerns for supervisory review.
• Plan and coordinate replacement staff per HR policies and collective agreements.
• Identify self‑learning needs and refer performance concerns to supervisors.

Required profile

• Grade 12 education (MB standards) with post‑secondary health‑related training.
• At least two years of professional customer‑service experience.
• Minimum one year of staff‑scheduling experience in a collective‑agreement environment (e.g., Procura or QHR).
• One year of related administrative experience.
• Strong organizational, problem‑solving, and decision‑making abilities.
• Ability to work independently, respect confidentiality, and support a culturally diverse population.

Required skills

• Proficiency with Microsoft Outlook, Word, Excel, Access, and PowerPoint.
• Experience using Internet applications and other information‑technology tools.
• Familiarity with electronic scheduling software such as Procura or QHR.
